Executive Studio Assistant

Kompleks Creative is seeking a full-time, executive studio assistant to join our team. The ideal candidate will have demonstrated experience and knowledge with maintaining company records, bookkeeping and office management. 

Adept in handling a wide range of administrative and executive support related tasks is required. This individual should express a passion for business administration and a career within the discipline.

Responsibilities

  • Serves as point person for maintenance, mailing, shipping, supplies, equipment, bills and errands 
  • Ensure the studio is organized and manage supply inventory 
  • Supports company operations by maintaining office systems 
  • Maintains office services by organizing operations and procedures, preparing payroll and designing filing systems 
  • Ensure filing systems are maintained and current 
  • Establish and monitor procedures for record keeping 
  • Ensure security, integrity and confidentiality of data 
  • Keeps management informed by reporting, summarizing information and identifying trends 
  • Maintains office staff by screening and orienting employees 
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time 
  • Prepare equipment for special projects
  • Manage staff calendars and scheduling 
  • Provide direction and prioritization standards for the screening of Principal’s mail, e-mail, voicemail and appointments using expert judgement and knowledge 
  • Anticipate studio needs and proactively procure resources to support the company’s growth 
  • Identify inefficiencies and suggest the best possible solutions which will contribute to the company’s growth 

Qualifications

  • 3 – 5 years as an administrative assistant or similar role 
  • Bachelor’s degree in business or a related field 
  • Knowledge of office administrator responsibilities, systems and procedures 
  • Advanced Microsoft Office skills 
  • Basic bookkeeping skills 
  • Hands on experience with office machines (e.g. printers) 
  • Strong attention to detail and problem-solving skills 
  • Excellent time management skills and ability to multi-task and prioritize work 
  • Strong communication skills – verbal, written and presentation 
  • Highly organized, detail-oriented and quality-conscious 
  • Ability to multi-task in a fast-paced, independent, collaborative team setting 
  • Forward-thinking, self-starter who will bring original ideas and fresh approach to each project 
  • Experience in a creative agency is a plus
